Getting Started
When you install and open Cari Pro, you'll go through a short setup. Enter your business name, optionally create a security PIN, and you're taken straight to the home screen. There's no account creation, no email verification, no internet connection required — the app can run entirely offline.
- 1 Open the app and enter your business name.
- 2 Optionally create a 4-digit PIN (this is optional — you can add or remove it from Settings at any time).
- 3 Tap the "Customer Ledger" tile on the home screen and add your first customer.
Customer Ledger
This is the heart of Cari Pro. A separate account is opened for each customer (or supplier), and four types of entries can be added to it:
- Debit You gave the other party goods or a service — the balance goes up, they now owe you.
- Credit The other party gave you goods or a service — the balance goes down (or goes negative), you now owe them. This type is used for supplier relationships.
- Collection You collected cash from the other party — this only settles the balance, it isn't counted as income again.
- Payment You paid cash to the other party — this only settles the balance, it isn't counted as an expense again.
You can use both Debit and Credit on the same customer account — Cari Pro doesn't care whether this is a customer or a supplier, it just processes the numbers in the right direction. The current balance is shown in large type on screen; red means you're owed, green means you owe them.
Each customer's card also shows their total transaction volume — this reflects the real business volume done with that customer to date (Collections/Payments excluded, only the sum of Debit+Credit entries), a separate figure that shouldn't be confused with the balance.
Calendar: Due Dates, Reminders & Cheque Tracking
The Calendar screen is now made up of three separate tabs, each with its own purpose:
- 📋 Due Dates Track your debt/credit entries that have a due date.
- 📅 Reminders General reminders not tied to any specific entry.
- 📄 Cheque Tracking Manage cheques and promissory notes you've received and issued — covered in its own section below.
Due Dates tab: When adding an entry, you can set an optional "Due Date and Time." When that date arrives, a notification is sent to your phone — even if the app is closed. The Due Dates tab groups every due entry into three color-coded states: Overdue, Today, and Upcoming. The "+ Add Due Date" button lets you add a new due-dated entry directly from here, without visiting a customer's page first — if you don't select a customer, it's saved as a Reminder instead (won't affect any ledger).
To remove an entry from this list without deleting the underlying debt/credit record itself, use the "Delete" button on each row — this only clears its due date, the entry stays intact.
Reminders tab: Some payments (rent, bills) repeat every month. If you check "Repeat Every Month" while adding a reminder, it automatically repeats on the same day and time each month. Standalone reminders unrelated to any entry (e.g. "Pay the electricity bill") go here — these aren't tied to any customer account, they're purely there to remind you.
Cheque Tracking
Manage cheques and promissory notes you've received and issued from the Calendar screen's Cheque Tracking tab. Each cheque record includes:
- 1 Type — Received (from a customer) or Issued (to a supplier).
- 2 Customer — the linked ledger account. You can also choose "General" and just type a name, without linking to any customer.
- 3 Amount, date, due date, and description — use the description field freely for the drawer's name, bank, cheque number, or anything else.
Posting to the ledger — an important detail: When a cheque's due date arrives, Cari Pro does not automatically post it to the ledger — because in real life, a cheque can bounce. Instead, once the due date arrives, the screen shows "✅ Cashed / Paid" and "❌ Bounced" buttons:
- ✅ Cashed / Paid instantly posts the amount to the ledger as a Collection (for received cheques) or a Payment (for issued cheques).
- ❌ Bounced just marks the cheque as bounced — nothing is posted to the ledger.
"General" cheques (with no linked customer) can still have their status updated, but since there's no linked ledger, nothing gets posted anywhere — they're for tracking purposes only.
Profit & Loss
This screen shows how much your business earned in a given month from two different angles — and the gap between them is a detail most shopkeepers overlook:
- Net Profit (Accrual) Answers "how much business did I do." If you provide $1,000 worth of service to a customer and haven't collected it yet, this figure still shows +$1,000.
- Net Cash Collected Answers "how much money actually landed in my pocket." Calculated only from Collections and Payments that happened that month.
The gap between the two shows your not-yet-collected business volume — this is how you catch the "I'm profitable on paper but I have no cash" situation. The screen also lets you pick a month and a day range to review past periods.
Late-Payment Interest
Once you set a monthly late-payment interest rate in Settings, the Calendar screen automatically calculates and shows interest for every overdue entry. This is purely informational — nothing is added to the account automatically.
- 1 Go to Advanced Settings → Late-Payment Interest Rate and enter your monthly percentage (e.g. 3%).
- 2 When you open the Calendar screen, each overdue entry shows a "Calculated Interest" amount next to it.
- 3 If you edit the amount if needed and tap "Add Interest," it's recorded as a new Debit entry.
The calculation is proportional to the number of days overdue: amount × (monthly rate / 100) × (days overdue / 30).
Stock & Pricing
Record your products with a name, unit price, and stock quantity. When adding a Debit entry for a customer, picking a product via "Select From Stock" auto-calculates the amount, auto-fills the description, and deducts the chosen quantity from stock. Deleting the entry automatically restores the stock.
Bank Accounts
Save your bank name and IBAN details, and share them with customers via WhatsApp or email in a single tap. The shared message only includes the bank name and IBAN — your business name isn't added automatically, keeping it free of clutter. You can edit your saved bank details at any time.
Notes
Keep general notes, or notes linked to a specific customer — addresses, special instructions, details worth remembering. Every note can be edited, shared, or deleted afterward.
Sharing Statements
On any customer's page, tapping "Send via WhatsApp" or "Send via Email" from the top-right menu turns their full transaction history and current balance into a clean visual statement and shares it. For accounts with a very long history, the image is capped at the most recent 60 entries — this keeps sharing reliable on every device.
PIN Security
You can require a 4-digit PIN at app launch. When creating it, setting up a recovery method (a security question or a recovery code) is recommended — if you forget your PIN, you can verify with that method and set a new one. Irreversible actions like moving all customers to trash or permanently deleting them require an additional PIN check for extra safety.
Backups
Advanced Settings → Export Backup saves all your data (customers, entries, stock, bank details, notes, business name) into a single file. The file goes wherever you choose from the share menu (WhatsApp, Drive, Files, etc.).
Automatic safety layers — screen by screen:
1) Mandatory backup on exit
- 1.1 While on the home screen, you tap the phone's back button.
- 1.2 If the app detects no backup has been taken that day, instead of the usual "Do you want to exit?" prompt, it first shows a "Back Up Before You Go" screen.
- 1.3 You tap "Back Up" — your phone's share sheet opens (WhatsApp, Drive, Files, etc.), and you send the backup file wherever you like.
- 1.4 Once sharing completes, a "✅ Backup Complete" message appears with an OK button — this screen won't close until you tap OK.
- 1.5 After tapping OK, the normal exit confirmation ("Yes, Exit") appears, and you can leave the app.
2) 2-day check on launch
- 2.1 Every time you open the app (after entering your PIN, or immediately if you have none), your last backup date is checked in the background.
- 2.2 If more than 2 days have passed since your last backup, a reminder screen appears before the home screen loads.
- 2.3 Choosing "Not Now" reminds you again the next day; choosing "Back Up" opens the share sheet.
3) Silent internal copy when backgrounded
- 3.1 When you press the home button, switch to another app, or lock your screen, Cari Pro moves to the background.
- 3.2 At that exact moment, without asking you anything, a copy of all your data is silently written to the app's own internal storage.
- 3.3 This layer isn't about sharing — it exists so that if the app crashes or data gets corrupted, a recent internal copy is available.
A note for iOS users: iOS doesn't have a concept of "shared storage that survives outside the app," the way certain storage locations can work on Android — on iOS, every app's data lives entirely in its own sandbox, and that sandbox is completely wiped when the app is uninstalled. This means the manual backup step matters even more on iOS — the automatic reminders help, but don't forget to back up before uninstalling.
Trash
A deleted customer, entry, expense, or income record goes to trash first — nothing is permanently deleted immediately. You can restore or permanently delete it from Trash at any time. Permanent deletion requires PIN verification and a prominent warning, to prevent accidental data loss.
Language & Theme
You can switch between Turkish/English and Light/Dark/System theme from Advanced Settings. Changes apply instantly across the whole app — no restart needed.
